Understand roles and what each role sees

How admin, director, account manager, manager, and member roles differ in Verbial, and who sees hours, revenue, cost, and margin.

This article explains the role model so you can pick the right preset for each person. The rule is short: members and managers see hours, account managers and directors see budgets and revenue, admins alone see cost, salary, and margin.

What does each role do day to day?

  • Member logs time on assigned projects and submits a weekly timesheet. Sees hours, never money.
  • Manager approves timesheets, manages projects and allocations, and reads team analytics. No billing figures.
  • Director leads a department: approvals at the entry level for their department's work, pacing for the people in it, and department-scoped revenue so they can optimise for billing. No invoices, payments, or cost.
  • Account manager runs client relationships, budgets, estimates, and projects for assigned clients, and records vendor payments. Cannot manage invoices or confirm client payments.
  • Account director does everything an account manager does across the whole book, plus invoicing and payment confirmation. Account directors are added to every project automatically.
  • Bookkeeper reconciles payments, sets bookkeeping status on entries, exports billed value, and sees the suppression list for compliance audits.
  • Admin manages users, brands, settings, billing, and sees cost, salary, and margin. Granting admin asks for confirmation because of that reach.

Where do I change a role?

  1. Go to Team in the sidebar and open the person.
  2. In the Roles and capabilities card, click a role chip to toggle it.
  3. Expand Capability overrides to grant or revoke a single capability for this person only.
  4. Click Save changes.

Notes

  • The CRM is scoped to brands. Salespeople and account managers see records they own plus unassigned records; account directors see everything in their brands; admins see every brand.
  • A personal token for Claude carries the same visibility as the person, never more, and cost data is never returned to any token. See Connect Claude with MCP.

Questions

Who can see salary, cost, and margin?

Admins only. Directors and account managers see budgets and billed value. Managers and members see hours only.

Can one person hold two roles?

Yes. An account manager who also runs a department holds both Account manager and Director. Capabilities are the union of both roles.

Can I make an exception for one person?

Yes. On the person's Team page, expand Capability overrides to grant or revoke a single capability on top of their roles.
