Capacity planning software for agencies

Capacity planning that shows who has room before you say yes. You find out someone is over-booked when the deadline slips. See who has room and who is stretched, week by week, and staff new work before it starts.

Why it matters

New work gets sold on a guess. The team finds out it does not fit when the week is already full.

Say yes with confidence

Know there is room before you sign the work. Not after.

Catch overload early

See the stretched week coming while there is still time to move things.

Hire on evidence

A team booked solid for weeks makes the case. Open weeks say wait.

Most planners sit apart from the work. Verbial already holds your projects, time off and logged hours, so the plan and what happened sit side by side.

How it works

See who has room. Staff the work before it starts.

  1. Look at the weeks ahead

Every person, every week. Hours booked against the hours they have.

  2. Book people onto projects

Pick the person, the project and the hours. Repeat last week when nothing changed.

  3. Check the plan against the work

Past weeks show the hours logged next to the hours planned.

Decisions

Answer the questions that decide the quarter.

Hiring, new business and workload all come back to one thing: who has room. Now it is on one page.

Common questions

How do I turn on capacity planning?

Capacity planning is in beta. A workspace admin switches on early access in account settings, and Capacity appears for the team on plans that include resource planning.

How is a person's available time worked out?

It starts from their weekly hour target, or 40 hours if none is set. Approved time off and company holidays come off it, so a week with a holiday in it is shorter for everyone.

What happens when someone is over-booked?

Their week shows in red. Over-booking is never blocked, so you can see it and rebalance the work yourself.

Who can book people onto projects?

People book onto the projects they manage. Admins and account directors see everyone, directors see the people in their departments, and managers see their team and the people on their projects.

How far ahead can I plan?

Up to 52 weeks ahead and 12 weeks back. For past weeks and the current week you also see the hours actually logged, so you can compare the plan with what happened.

Can I book someone for several weeks at once?

Yes. From a project's Staffing tab, pick the person, the hours per week, the first week and how many weeks. A copy button also repeats the previous week's bookings.

How do company holidays work?

An admin adds the days the agency is closed once. Each holiday shortens that week for everyone and shows on the timesheet. Half days work too.

Know who has room. Before you promise the work.
