Create and send a proposal
Build a proposal from your service catalog, activate it, send it with an access code, and follow up from the same page.
A proposal is the document the prospect reads, selects from, signs, and pays. This article takes one from a blank draft to sent, then shows the follow-up tools.
Steps
- Go to Sales, then Proposals, and click New proposal, or click Duplicate on an existing one.
- Client: pick the brand. It sets the logo, domain, email identity, and agreement the prospect sees, and cannot change afterwards. Enter the client company, a contact, and an optional personal message. Typing a name searches the CRM and offers to create the record.
- Deal setup: choose whether the prospect must sign an agreement and submit payment, then the proposal type. Standard is packaged services with fixed pricing. Drawdown retainer is a monthly retainer drawn down at hourly rates. The two cannot mix.
- Services and pricing: toggle on service items from the catalog or Add custom item. Set a custom price if the deal warrants it and use Pre-checked for prospect to control what they see selected by default. At least one item must be pre-checked to activate.
- Terms and goals, Content: add finish-line language and a success plan, and switch content blocks on or off.
- Click Create proposal. It saves as a draft you can keep editing.
- To send by email, use the Email to prospect card: recipients, subject, optional note. The mail goes out from the brand's address and replies come back to you. On a draft the button reads Mark sent and email proposal.
- To send the link yourself, use Copy link and access code on the Share this proposal card.
What the prospect sees
A branded page with the pre-checked packages, a scope table per item listing deliverables and pricing, the content blocks you enabled, and, when required, the agreement to sign and the payment step. Use Preview at the top of the proposal page to see it exactly.
Following up
Once the proposal has been emailed or opened, a Nudge prospect card shows how far they got: not opened, opened but quiet, or started to proceed. Draft with AI writes a follow-up grounded in what they read (currently in beta and needs an LLM key). Schedule it for later; a scheduled follow-up cancels itself if the prospect signs or the proposal expires first. Follow-ups thread into the original email when one exists.
What to check
- Proposals are visible to their creator, collaborators added on the Sharing card, and admins.
- Expired proposals hide the follow-up tools until you reactivate with a new expiry date.

Questions
Can I edit a proposal after the prospect signs?
No. Content and contract lock at signature. Click Duplicate to clone it into a fresh draft and send the new version.
How does the prospect open it?
Through a public link on the brand's domain plus an access code. Emailing from the proposal page sends both; Copy link and access code puts both on your clipboard.
Can I discount below list price?
A custom price can go at most 40% below an item's list price. Larger discounts need an admin.
