Run email sequences, campaigns, and workflows
Enrol contacts in timed sequences, send one-to-many campaigns, and automate CRM actions with event-driven workflows.
Sequences follow up one person at a time on a schedule. Campaigns send one template to a filtered audience. Workflows react to events with actions. This article sets each one up.
Sequences
- Go to CRM, then Sequences, and click New sequence. Set visibility to Mine or Everyone.
- Add steps. Each step picks a template, a subject override if needed, and Wait days before it sends. Set a send window and timezone so mail lands during working hours.
- Save and set the sequence Active.
- Enrol contacts from a contact page, a list, or a workflow. One active enrolment per contact per sequence.
- Watch Sent, Open rate, Reply rate, Completion, and Drop-off on the sequence page.
A reply detected through Postmark or Gmail sync records a reply event. Stop an enrolment manually from the contact's enrolments panel.
Campaigns (currently in beta)
- Go to CRM, then Campaigns, and click New campaign. Pick the brand and a template.
- Define the audience: lists, lifecycle stages, owners, and how many days a contact has been untouched. Click Check who this reaches to see the count.
- Launch now or Schedule campaign. Launch snapshots the audience; contacts matching later do not join.
- Dispatch runs in batches under the brand's throttle. Cancel from the campaign page while recipients remain pending.
Workflows (currently in beta)
- Go to CRM, then Workflows, and click New workflow.
- Pick a trigger: Deal stage changed, Contact created, Form submitted, Email opened, clicked, or replied, or Date reached. Add criteria such as "email contains" or "company has no open deal".
- Add actions: Send email, Enrol in sequence, Unenrol, Set property, Set lifecycle stage, Create task, Add to or remove from list, Send notification, Send webhook, or Copy from a related record.
- Save and set Active. Runs are listed on the workflow page with each action's outcome.
Workflows mutate records and send mail automatically, so the capability is granted per user by an admin rather than bundled into a role.
What to check
- Templates live under CRM, then Templates, with spam-check and test-send tools.
- Lists under CRM, then Lists, feed both sequences and campaigns.
- Suppressed and opted-out addresses are skipped everywhere. See Manage contacts and consent.
Questions
Which of these are in beta?
Campaigns and workflows are currently in beta. Sequences, templates, and lists are generally available.
Which address do sequence emails come from?
The brand's From identity, with your reply-to. Every step goes through the same pipeline as a one-to-one send: suppression check, unsubscribe footer, tracking, and audit.
What stops a campaign from sending too fast?
Per-brand and per-sender hourly throttles under CRM settings, then Throttle. When a cap is hit the batch pauses and resumes later.
