The moment an invoice is paid, the invoice number, client, brand, amount and payment method are passed to QuickBooks with a link back to the invoice.
Nothing is recorded twice
Each invoice is matched on its number, so a re-send updates the same entry, and anything your bookkeeper marks in QuickBooks stays as they left it.
Usage statements stay out of the books
They show clients what a retainer bought and are not a collection.
