Set up e-signature and agreements
Configure the agreement template and signer per brand, use Documenso for signing, and invoice automatically at signature.
Agreements are generated per brand from a template, filled with the proposal's packages and contract details, and signed inside the proposal flow. This article sets up the brand, then walks through what happens at signature.
Configure the brand
- Go to Settings, then Brands, and open the brand.
- Under Agreement template (Standard) and Agreement template (Drawdown retainer), paste the contract text. Variables fill in from the proposal: client company, packages, pricing, term, and the contract details the rep enters.
- Under Retainer defaults, set the default term in months and the hourly rate ladder used by drawdown proposals.
- Under E-signature provider, switch on Use Documenso for e-signatures. Clients then sign in Documenso's embedded experience. Leave it off to use the built-in canvas signature.
- Under Agency signature, set the signer name, company address, and upload the agency signature image. The agency counter-signature is applied automatically when the document is created.
- Save.
Before sending
If a proposal requires an agreement, the rep fills in any required contract details before activating: legal entity, address, signer, and start date. The proposal page flags what is missing.
What happens at signature
- The prospect proceeds from the proposal, reviews the agreement, and signs.
- The proposal's content and contract lock. Revisions after this point mean a duplicate, not an edit.
- An invoice is generated from the included packages, exactly once per proposal, and a client record is created under the brand if none exists.
- The invoice is emailed to the signer with a link they can view and pay from, without returning to the proposal. See Collect payment by card, bank, or stablecoin.
- The rep and admins receive the signed notification.
Tracking signatures
Go to Sales, then Signatures. Tiles count total, pending, signed, and paid. Each row shows the signer, company, method, date, and proposal status. Only admins can open a signature's detail page or download the executed document.
What to check
- Estimates for one-off work have their own signature flow under Billing, then Estimates, and convert to an invoice once accepted.
- Documenso reconciliation runs in the background, so a completion that arrives late by webhook still triggers the invoice and notifications.

Which signing options exist?
Documenso's embedded signing, or the built-in canvas signature. Choose per brand under Settings, then Brands, then E-signature provider.
What happens the moment a prospect signs?
The proposal locks, an invoice for the included packages is generated once, and it is emailed to the signer with a pay link. The rep and admins are notified.
What if I change the contract while a signature is pending?
The pending signing session is cancelled. The old link stops working and the prospect signs the updated contract fresh. A cancelled session can never be completed.
